This data protection information applies to the collection of personal data in connection with participation in We Robot Europe on 17.10.2024 (“event”). This Privacy Notice applies to the processing of personal data collected via our online registration forms for the Event or processed at the Event. Personal data includes, among other things, all information that you provide when using these forms, such as your name or e-mail address.

Purposes for which the personal data is used:
We process your personal data for the following purposes and based on the following data protection legal bases:
- Registration for the event in order to grant you access to the event: Art. 6 para. 1 lit. f GDPR
- Taking pictures during the event and for further use by RAILS e.V.: Art. 6 para. 1 lit. a GDPR
- Inclusion in the participation list for the event: Art. 6 para. 1 lit. a GDPR
Recipient group:
If you give your consent when registering, your name and, if indicated, your position and company will be included in a list of participants, which will be handed out to interested participants on the day of the event. Your data will not be passed on to third parties.
Note on the use of photos on social media after the event:
In the registration form, you can give your consent for pictures to be taken of you during the event, which may be used for public relations and documentation of the event on social media channels. The legal basis for this processing is your consent pursuant to Art. 6 para. 1 lit. a GDPR.
We delete your image recordings in accordance with the statutory provisions as soon as your underlying consent is revoked or there is no further legal basis for processing. Exceptions to this rule exist if legal obligations or special interests require longer storage or archiving of the data.
The declaration of consent can be revoked at any time by sending an email to info@ai-laws.org. Your personal data will then be deleted immediately. Images already published with your person are excluded from this deletion.
Feedback Form
So that we can constantly improve our conferences, you have the opportunity to give us feedback on the conference. We have set up a Microsoft Forms for this purpose. All information provided in this form will be stored by Microsoft and made available to RAILS.
When you fill out and submit the form, certain personal data is automatically collected. Storage period (registration form)
We delete your personal data that we process as part of the registration via our registration form in accordance with the statutory provisions or as soon as there is no further legal basis for the processing. This applies to cases in which the original purpose of processing no longer applies or the data is no longer required. Exceptions to this rule exist if legal obligations or special interests require longer storage or archiving of the data.
In particular, data that must be stored for commercial or tax law reasons or whose storage is necessary for legal prosecution or to protect the rights of other natural or legal persons must be archived accordingly.
Rights of data subjects
As a person affected by the data collection, you can assert the following rights against RAILS:
- Right of access, Art. 15 GDPR (whether and which personal data is stored, for what purpose and for how long, and whether it is transferred to third parties)
- Right to rectification, Art. 16 GDPR (rectification of inaccurate personal data)
- Right to erasure, Art. 17 GDPR (erasure of personal data collected on request and obligation to erase in the event of discontinuation of purpose, unlawful processing and withdrawal of consent)
- Right to restriction of processing, Art. 18 GDPR (in the case of incorrect data, unlawful processing, discontinuation of purpose, revocation, restricted processing can be requested)
- Right to data portability, Art. 20 GDPR (the right to receive the data in a structured, commonly used and machine-readable format and to transmit those data to another controller without hindrance from the controller to which the personal data have been provided)
- Right of revocation, Art. 21 GDPR (the right to object at any time to the processing of personal data concerning you that is carried out on the basis of Art. 6 para. 1 lit. e or f GDPR)
